Who we are
Riley & Thomas Limited is a UK creative and digital design agency. This notice explains how we use personal information in connection with our own website, enquiries, marketing and client relationships. We are the data controller for these activities. It does not cover websites that we build or maintain for clients, which have their own privacy arrangements.

The information we collect
When you contact us or submit a brief, we may receive your name, email address, telephone number, company, job title, what you need help with, how you heard about us, your message and any files you choose to upload. When you sign up to our newsletter, we collect the contact details you provide, such as your name and email address. You do not have to send us an enquiry, but we may be unable to respond without suitable contact details.
If you work with us, we also use the business contact, project and billing information needed to manage that relationship. Our website and its security services may collect technical information such as IP addresses, browser or device details and basic activity or error logs.
Why we use it and our lawful bases
We use personal information for the following purposes:
- Responding to enquiries and briefs: Our legitimate interests in responding to business enquiries; taking steps towards a contract where relevant.
- Delivering projects and managing client/supplier relationships: Performance of a contract where applicable, and our legitimate interests in managing business relationships.
- Invoices, accounts and legal requirements: Compliance with legal obligations and, where relevant, our legitimate interests in record-keeping or handling claims.
- Keeping the website working and secure: Our legitimate interests in running and protecting our website and services, subject to applicable cookie rules.
Newsletter and other marketing
If you subscribe to our newsletter, we use your details to send occasional Riley & Thomas news and updates. Our usual basis for this mailing list is your consent. You can unsubscribe using a link in an email or by contacting us. We may also contact business customers about our services where the law allows; we will respect any objection or opt-out.
Who we share information with
We share information only where needed to operate our business and website. This may include our website hosting and technical support, email and cloud-service suppliers, form and newsletter providers, and professional advisers. Google reCAPTCHA is used to help protect our enquiry form from spam and abuse. We may also disclose information if required by law.
Some service providers may process information outside the UK. Where a restricted international transfer occurs, the transfer must be covered by a recognised UK adequacy arrangement or appropriate safeguards. Please contact us for information about any relevant transfers and safeguards.
How long we keep information
We keep enquiries and correspondence for as long as needed to deal with the request and any reasonable follow-up. Where an enquiry leads to work, relevant information becomes part of our client and project records.
We keep client, supplier and financial records while necessary for our working relationship and afterwards where required for accounting, tax or legal purposes. Newsletter details are kept until you unsubscribe or we stop using the mailing list; we may retain a minimal record of an opt-out so we do not contact you again. Technical logs are kept only for operational, troubleshooting and security needs. We review records and securely delete them when they are no longer needed.
Cookies and website security
Our website uses cookies and similar technologies where needed for its operation and security, and third-party services such as Google reCAPTCHA may also use them. If we use optional analytics or marketing technologies, we will provide the information and choices required under UK rules. You can also manage many cookies through your browser settings. Please contact us if you would like details of the technologies currently used on this site.
Your rights
Depending on the circumstances, you may have the right to access your information, ask us to correct or erase it, restrict or object to its use, or receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful processing.
To make a request or raise a concern, email [email protected]. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk, although we would welcome the opportunity to address your concern first.
Updates
We may update this notice if our website, services or legal obligations change. The latest version will be available on our website.
